How to stop no-shows in your salon — without losing clients

It's 11 o'clock on a Saturday. The chair is free, your stylist is ready, the colour is mixed — and the client doesn't come. No call, no message. Ten minutes later you're throwing away product and your stylist is scrolling their phone.

A no-show costs you far more than one service. It costs the slot you could have sold to someone else, the product you prepared, your stylist's time, and sometimes the walk-in you turned away because "we're fully booked".

The good news: most no-shows aren't bad clients. They're forgetful clients, or clients who found cancelling awkward. Both are fixable with small changes.

Why clients don't show up

  1. They forgot. They booked a week ago on a phone call, and nothing reminded them since.
  2. Their plans changed, and cancelling felt awkward. It's easier to simply not come than to call and explain.
  3. Nothing happens when they don't come. If there's no consequence, a booking feels optional.

Each step below fixes one of these.

The fix, in five steps

1. Confirm in writing at the moment of booking

Whether the booking comes by phone, Instagram or walk-in, repeat the date, time, service and stylist, then immediately send a written confirmation on WhatsApp. A booking that exists only in someone's memory is easy to forget.

2. Remind twice — the evening before and two hours before

The evening reminder lets clients rearrange their day. The two-hour reminder catches the ones who simply lost track. Keep both short and friendly.

3. Make cancelling easy

This sounds backwards, but it works. When rescheduling takes one reply, clients tell you instead of disappearing — and a slot you know is free can be sold again. A slot you find out about at 11:10 can't.

4. Take a small advance for long or high-value services

Bridal bookings, global colour, keratin and facial packages block your best hours. Ask for a modest advance, adjust it in the final bill, and explain it simply: "This holds your slot for you." Most serious clients are happy to pay it.

5. Keep a waitlist

Write down clients who wanted a slot you couldn't give. When someone cancels, message the waitlist first. A cancellation becomes a booking instead of an empty chair.

No-shows will never be zero. The goal is to make forgetting impossible and cancelling easy.

That last message matters. An angry message loses the client forever. A warm one usually brings them back — and quietly reminds them that you noticed.

What about repeat no-shows?

Note every no-show in the client's profile. If the same client misses twice, ask politely for an advance on their next booking. Don't make it a punishment; make it the rule: "For clients who've had to miss a couple of appointments, we take a small advance to hold the slot."

A simple notebook page works. After four weeks you'll see a pattern — often one time slot or one service type — and you'll know exactly where to put the advance rule.
